Application conditions and acceptance for HYB certification

To apply for HYB certification through Sistem Patent Kalite, the applicant needs to meet several defined conditions. Where the applicant acts as an authorised dealer, the original of the agreement signed before a notary between the applicant and the principal, along with a copy of the notarised signature lists of the parties, may be requested. Applications can also be filed through a notarised power of attorney, in which case a copy of the power of attorney and the signature declaration of the signing attorney are kept on file. Where the applicant and the authorised dealer are different persons, the agreement between the applicant and the manufacturer or importer cannot be signed by the same individual.

For standards or criteria that do not specifically target authorised dealers, where the service is delivered under contract, the original of the dealer or agency agreement notarised with the principal firm and a copy of the notarised signature lists are requested.

• Applications are filed using the application form or a request letter, either online or in person.
• If more than one natural or legal person operates at the address where the service is delivered, only one application is accepted. Multiple applicants at the same service address cannot each hold a certificate.
• More than one certificate can be requested for the same trade name and the same address.
• A single application form can cover multiple standards or criteria for the same service point. For different service points, a separate application form is required. Each branch is certified separately, so applicants with branches submit an application form per branch.
• The advance fee must be paid for the first application to be accepted. Applications with the advance fee paid move into processing. Missing documents can be supplied during the audit, but a file with missing documents cannot be closed to certification.
